International Student Employees

International student employees have been issued student visas to be full-time students in the U.S.  They have specific requirements under which they can work.  Students in F-1 status may accept employment under certain conditions. Once an offer has been made to an international student, the student is responsible for obtaining a Social Security Number (SSN).

If your student has not already done so, ensure that the international student employee visits the Office of International Education to obtain approval for On-campus employment and to verify their eligibility before he or she begins working.

To maintain work eligibility on campus, all students are required to present a social security card (SSC) to TCE and Office of International Education (OIE) offices.

 

For international students who do not already have a social security number, please direct your student to the Social Security page of the OIE website.   

 

An offer of employment is required for students in F-1 status to request a social security number.  

 

To be eligible for an SSN, F-1 students must show the following:  

 

  • proof of status.
  • proof of employment.
  • proof of authorization to work.

 

F-1 students may only work on-campus, or upon approval for CPT, OPT, or Economic Hardship.  Students should contact the Office of International Education to verify eligibility.   

 

Make sure your international student follows the steps below: 

 

  • Student must complete the SSN On Campus Employment Verification eForm in GlobalMavs. 
  • Hiring managers will need to sign the SSN Letter from OIE to verify the employment offer.
    • The student will either (1) bring the form to you to sign or (2) send it electronically for you to sign
    • Here is a sample of what the letter looks like
  • Once the form has been signed by an International Advisor, the student can make your appointment at the Social Security office. They can go to any SSA office, but the nearest to UTA is in Grand Prairie.
  • They will also need to bring their passport and most recent I-20 to the appointment.

Once your international student has been verified as eligible to work and applied for their SSN, they may begin employment.

All student employees must complete the I-9 process or they will become ineligible to work and will be terminated from employment.

Please direct your international student employee to the I-9 Process website.

When an eForm is submitted to hire a student employee, the eForm must either include the accurate SSN, or all Xs for those who do not yet have an SSN.

The student’s form SSA-5028, Receipt for Application for a Social Security Number as provided to the student by the Social Security Administration (SSA) must be attached in order for the eForm to be approved

Once the student receives their SSN in the mail, please remind them to visit with the TCE office to present the card.  This is required for record keeping and compliance purposes.

IMPORTANT NOTICE

A Social Security Number alone is not sufficient proof of work authorization for international students.

It is critical that employers confirm an international student’s work authorization prior to employment start date to prevent any liability for the student and the employer in the future. 

All employees must complete their I-9 process at the time employment begins.
