eForm FAQs

Below is a compiled list of commonly asked questions regarding student employment eForms.

A graduating student who is a citizen or permanent resident may work until the last day of the month in which they graduate. 

An International student is no longer eligible to work in the US upon completion of their academic degree program, as defined by the “Official last day of term” in the Academic Calendar

Work-study students can work the following dates: 

  • Fall: August 16 to December 31
  • Spring: January 1 to May 31
  • Summer: June 1 to August 15

If a student has not graduated and plans on not returning for the Fall, Spring, or Summer, their last day of employment will be the last day of finals.

 

It generally takes 24 hours for changes to an assignment to reflect in UT Share and up to 48 hours for the same changes to reflect in TCP, once the eForm has been approved. 

If you do not see the assignment in UT Share 48 hours after approval, please reach out to HRIS.uta.edu. If you do not see the assignment in TCP after 48 hours of approval, please reach out to Knowledge Services.

 

When searching for a student's ID number, select the search button on the eForm and search using the student's first and last name. When reviewing the search results, to filter the results click on the birth date tab and it will allow you to view the results by date of birth. If the department is not able to find the student, please reach out to the HRIS team before submitting the eForm for additional assistance.

Once an offer has been made to an international student, the student is responsible for obtaining a Social Security Number. Instructions and required paperwork for the SSN can be found on the Office of International Education’s website

When an eForm is submitted to hire a student employee, the eForm must either include the accurate SSN, or all “X”s. For students who do not yet have an SSN, the eForm must have a copy of their SSN Application Receipt attached.

Once a student is hired for a FWS position, the department will need the student's work study eligibility form. The form becomes available on a students' MyMav account 10 days prior to the start of the term. For the fall 2024 semester, this form will be available on August 9, 2024. If the dept. needs verification of work study before this date, the department could ask the student to provide their award letter or consult with Financial Aid directly:

To print the form, click on the ‘Printable form’ button

Job Posting & Application Process FAQs

Handshake is a career network and job database used to connect with UTA students and alumni. Supervisors can utilize Handshake to promote student positions and attract top tier student talent from all majors and classifications.

Handshake serves as the posting site for all part-time and full-time positions, along with internships and UTA student employment opportunities. If you are not familiar with Handshake please review our Handshake Supervisor Training. 

 

 We encourage departments to please do not reset job postings. For best practices, please close your job posting, then duplicate for up to 30 days to receive a fresh applicant pool. If you are hesitant to do this because previous applicants may reapply, be sure to download your candidate pool report so that you are able to deny those applications you are not interested in. Recruitment & Selection FAQs

Below is a compiled list of commonly asked questions regarding student employment recruitment and selection.

The department’s selection process involves resume screening and interviews based on the applications submitted on Handshake. This ensures you hire students who not only meet the job requirements, but also align with your department's values and culture.
 
Once candidates have been narrowed down, your department can set up an interview to further discuss the job duties and further get to know the applicants. If your department is unsure on what to ask during an interview, please review approved interview questions.   

Once you have selected your chosen applicant, please change all student's "desired statuses" from reviewed to declined/hired. For steps, please visit the Managing Application Status guide.

General Student Employment FAQs

Below is a compiled list of commonly asked questions regarding student employment.

Students are limited to a total of 19 hours a week during the Fall and Spring semester. Between fall and spring semesters (as defined by the UTA Academic Calendar’s designation of the last day of final exams as the end of semester) and during spring break, a regular (non-work study) hourly student employee may work up to a total of forty hours per week. A regular (non-work study) hourly student employee may work up to forty hours during summer semester, when their classes are not in session. Students must be able to show proof of enrollment for the Fall and Spring semester if working 40 hours a week during the breaks.  Students are eligible to work multiple jobs, but they are only eligible to work up to 19 hours. 

 

Work-study students are only eligible to work 19 hours per week. Work-study students are also required to be enrolled in classes to work.  They must be enrolled in at least 6 credit hours either for Summer I, II, or a combination of the two.

If a student has an internship within UTA, if the internship allows for the student to have a student employment work assignment, the assignment will be limited to 19 hours
 
Please note, Internships are not approved and/or supervised by the Office of Talent Culture and Engagement (TCE) or Student Employment.  Departments who are interested in hiring interns should consult with the appropriate Academic College on an Internship Agreement. 

UTA does not allow students to volunteer for duties that would otherwise be paid, so continuing their job after graduation as a volunteer or performing duties that you would pay another student to do is simply not allowed. However, there could be cases where specific volunteer tasks could possibly be performed. If you have questions about whether your volunteer opportunity is appropriate and/or whether it should be paid work, please contact your HR Business Partner.
