Using Concur for ProCard Charges

Concur is UTA’s comprehensive travel, expense and ProCard application. ProCard charges and reconciliation are no longer in UTShare.

To access Concur you must first complete required training in Canvas. If you are a new cardholder, please complete this training course in Canvas.

Concur offers:

  • Digital receipt scanning with mobile app: AI scans uploaded pictures and suggests a charge category
  • Live compliance alerts during expense report submission
  • Funding source approvals via workflow
  • Status monitoring of ProCard charges

ProCard Holders

Required:

  • Assign your administrator(s) as a delegate
  • Review, certify and submit ProCard reports

Optional:

  • Upload receipts with the mobile app for faster expense processing upon return
  • Submit charges through the Concur mobile app??
  • Monitor the status of ProCard charges

Delegates (Administrators)

  • Upload ProCard charges on behalf of ProCard holder
  • Notify ProCard holders that reports are ready for certification and submission

Payment Card Analysts

  • Ensure transactions are regularly synced with employee expenses
  • Ensure corporate card transactions are assigned to correct cardholders
  • Ensure payment card expenses are accurately categorized and reflect the business purpose
  • Generate reports on card spending, employee compliance and reconciliation status

FAQ

Yes. UTShare is still recording the budgetary/accounting information and disbursing the payments. Concur will be used for creating travel requests (formerly known as travel authorizations), booking travel, creating an expense report and reconciling ProCards.

  • A completed Canvas training course is required for all Concur users, including travelers, administrative professionals/delegates, managers, etc., to gain access to the system.
  • Student employees will need to complete Concur training. Delegates will act on behalf of non-employee students.
