Whereas | Student organizations and departments are allowed to reserve rooms a year in advance through the Cosmic Calendar and months in advance through the University Center Operations; and |
Whereas | Some student organizations and departments reserve blocks of rooms for various dates; and |
Whereas | Some of the rooms that have been reserved are not used but they are not released in a timely manner; and |
Whereas | Room turnover time by the University Center Operations limits room availability; and |
Whereas | Other student organizations and departments cannot find suitable rooms for their events. |
Be It Further Resolved That | Student Congress investigate the use and the current policies of the Cosmic Calendar, room turnover, and the University Center Operations; and |
Be It Further Resolved That | A limit be placed on the number of rooms on various dates that a student organization or department may reserve; and |
Be It Further Resolved That | Rooms that have been reserved but are not going to be used, be released in a timely manner. Smaller conference rooms be released 5 business days prior to the event and larger rooms like Bluebonnet be released 20 business days prior to the event. If not the department or organization will incur late fees; and |
Be It Further Resolved That | No more than 30 minutes to an hour turnover time be allowed unless larger accommodations are needed such as larger rooms, catering, audio, etc. |
