Dear UTA faculty and staff, We have prepared guidance on eligibility, timekeeping, and availability of campus services to help you prepare for the Wednesday, Nov. 23, early release opportunity that President Cowley announced this morning. Paid early release eligibility The Wednesday, Nov. 23, early release opportunity is applicable to vacation-eligible employees who will be able to use up to four hours of Agency Holiday pay. Agency Holiday pay does not apply to student employees or any employee working fewer than 20 hours per week. If you have questions about early release plans or eligibility, please contact askhr@uta.edu. Eligible staff members should follow the step-by-step instructions below to enter Agency Holiday pay in TCP. Faculty do not need to adjust their timesheets in TCP. Employees who manage student employees, including teaching and research assistants, should work with their schedule to ensure they complete their hours before 12 p.m. Friday, Nov. 18. Entering Agency Holiday time in TCP (employees) - In the “Requests” tab in TCP, select “Add.”
- Select “58-Emergency Leaves – Salary” as the request type.
- In the “Leave Code” drop-down menu, salaried employees should select “Closure/Agency Holiday – Salary”; hourly employees should select “Closure/Agency Holiday – Hourly.”
- Enter the appropriate number of hours and click “Save.” The number of hours entered should not exceed four. Please ensure the request is for hours not worked. For example, if you work 8 a.m.-12 p.m. and have lunch 12-1 p.m., enter your request for 1-5 p.m. to avoid conflicting time segments.

| Staff should discuss plans with their supervisors before entering any time in TCP. If you already requested paid leave for Wednesday, Nov. 23, you should adjust your leave request to include the appropriate amount of vacation or sick time plus the appropriate amount of Agency Holiday time in TCP. Managing paid leave requests in TCP (managers) Managers who have already approved an employee’s leave request for Wednesday, Nov. 23, will need to cancel the request and have the employee submit a new leave request using the instructions above. To cancel an employee’s previous request so they can submit Agency Holiday time: - In the “Tools” tab of Time-Manager, select “Requests” and the Request Manager page will populate.
- Select the request to be canceled, then click “Manage,” then “Cancel” from the drop-down menu.

Campus services As President Cowley indicated, this early release opportunity should not interfere with operational continuity or the availability of student support services. Employees and supervisors should work together to maximize use of early release while ensuring campus is open. Please refer to the following operating hours for a few key campus services and facilities during this early release opportunity and the ensuing holiday: - UTA Libraries – All UTA Libraries will close at 6 p.m. Wednesday, Nov. 23. Central Library will reopen at 9 a.m. Sunday, Nov. 27, after which time the Libraries will resume normal operating hours.
- Campus Recreation – The MAC will close at 6 p.m. Wednesday, Nov. 23, and resume normal hours at 12 p.m. Sunday, Nov. 27.
- Dining Services – On-campus dining will operate in accordance with holiday hours.
- University Center – The University Center will close at 6 p.m. Wednesday, Nov. 23, and reopen at 11 a.m. Sunday, Nov. 27, to resume normal operating hours.
- The Commons – The Commons will close at 8 p.m. Wednesday, Nov. 23, and reopen at 11 a.m. Sunday, Nov. 27, to resume normal operating hours.
